Building on the insights from our previous discussion on leadership in the age of the O’Mind, this post delves into the possibilities of AI agents in modern organizations. We'll explore how intelligent tools can improve workflows, support data management, and boost overall productivity. And let me say this up front: I used my favorite AI partner to draft this post, which was - for me - a joy.

People in every organization we talk to face the constant challenge of maintaining productivity while ensuring their workflows are as streamlined and efficient as possible - especially in a hybrid work environment. But we can envision an environment where routine tasks are seamlessly handled by intelligent AI agents, allowing employees to focus on strategic initiatives and creative problem-solving.

Understanding AI Agents

AI agents are sophisticated software applications designed to perform specific tasks autonomously or semi-autonomously. Unlike traditional AI tools that require constant human input, AI agents can learn, adapt, and execute tasks with minimal supervision. (ALWAYS have a human in the loop!)

  • Virtual Assistants: So many software-as-a-service (SaaS) tools (like Slack, Calendly, Doodle and Zoom) can help manage schedules, set reminders, and facilitate communication.

  • Chatbots: AI-driven interfaces that handle customer inquiries, support requests, and internal communications. Most consumer websites have chatbots assisting visitors today. And new capabilities are rolling out regularly in this space.

  • Intelligent Automation Tools: These are systems that can manage data entry, process automation, and workflow optimization tasks with minimal human intervention once set up and tested correctly. Explore some of these tools here.

Integration into the O’Mind

AI agents are integral to the concept of the Organizational Mind (O’Mind), where human intelligence and AI capabilities merge to create a hybrid intelligence. Working together, agents and humans can explore and leverage vast amounts of data, automate routine processes, and enhance decision-making, all while empowering employees to focus on more meaningful and impactful work. And all that work is captured and embedded in the O’Mind, which is always learning, always looking to improve.

Getting Real with AI Agents

At AIGG, we’re constantly looking to improve productivity through the responsible use of technology. We believe in building a strong tech stack to support the work we do, and to practice what we preach, frankly. AI agents excel at handling repetitive and time-consuming tasks, such as note taking, managing emails, and some data management functions (like creating tables from disparate information, etc.). By delegating these responsibilities to AI, we’ve found we can redirect efforts toward our pre-defined, higher-value activities that require critical thinking and creativity.

That’s why we all work with our favorite tools to do things like overcoming “blank page syndrome” in writing blog posts, creating properly branded images for our work, and more deeply exploring markets we’re serving along the way.

AI-powered communication platforms facilitate interactions and capture action items and responsibilities in meetings. These tools have helped us build our O’Mind-in-the-making by taking notes, recommending refinements and next steps, etc.

Properly formatted and protected data can allow an AI chatbot integrated into an organization's intranet to answer frequently asked questions, guide employees to relevant resources, and escalate complex issues to human supervisors, speeding time to results, reducing communication delays and enhancing collaboration.

And (again, when data is properly secured and tagged) AI agents can aggregate and analyze large datasets to provide new insights, something we marketers deeply enjoy. By handling data management tasks, AI can enable new marketing programs to highly segmented prospect, offer quicker decision-making and more informed strategies.

AI tools that track project progress, deadlines, and resource allocation can ensure that projects stay on course and resources are utilized efficiently. These agents provide real-time updates and alerts, helping teams manage their workloads effectively.

 We’re exploring how an AI project management agent can monitor task completion rates, predict potential delays, and suggest reallocations of resources to keep projects on track, enhancing overall efficiency and productivity.

Implementation Strategies for AI Agents

We always recommend clients start small.

Figure out which processes can benefit most from AI automation and assistance. Focus on areas with repetitive tasks, high data volume, or communication bottlenecks. Pick one and create a pilot project with an AI-literate group to use in a sandbox. How to develop an AI-literate pilot group?

Always prepare to provide comprehensive training sessions to help employees understand and effectively use AI agents. Ensure that staff are comfortable with the technology and (because your pilot project is properly scoped) they can quickly recognize its benefits.

Of course, before you allow even piloted use of AI agents, we recommend you develop policies to govern the ethical use of AI, ensuring transparency, fairness, and accountability. (We’ve provided some policy templates here, in our resource section, to get you started.) And train on, and address concerns related to data privacy proactively. (We’re currently doing so with international and regional clients, and it’s been really positive and illuminating for all.)

Continuous Monitoring and Improvement

Establish feedback loops to regularly collect input from employees and make informed adjustments to AI agent functionalities. One of the most interesting real-world recommendations we’ve heard from colleagues here? Allow your employees to make mistakes without fear! In her organization, they set up a Slack channel for the pilot team to share comments, concerns, failures and celebrations.

We recommend (as part of our training) that supporting staff with permissions to fail in small pilots that are sandboxed is a great way to allow people to learn from each other without fear. This ensures that AI integrations remain effective and aligned with organizational goals, and can help with team confidence as projects roll out across an organization.

Connecting more cancer patients with care at Mayo Clinic

AI Solution: IBM Watson Health 

At any given time, Mayo Clinic is conducting over 8,000 human studies in addition to the 170,000 that are ongoing worldwide. Watson’s cognitive computing ability will help sift through available Mayo clinical trials and ensure that more patients are accurately and consistently matched with promising clinical trial options. Watson Health assists in managing patient data, streamlining administrative tasks, and providing data-driven insights for better decision-making.

Answering drivers’ questions more effectively from Volkswagen of America

AI Solution: Google’s Gemini

VW America built a virtual assistant in the myVW app, allowing drivers to explore their owners’ manuals and ask questions, such as, “How do I change a flat tire?” or “What does this digital cockpit indicator light mean?” Users can also use Gemini’s multimodal (text / voice / image) capabilities to see helpful information and context on indicator lights simply by pointing their smartphone cameras at the dashboard. Sign me up!

Speeding the recruiting and hiring process at Ace Hardware

AI Solution: Paradox Conversational AI Assistant

Ace Hardware saw a big influx of business during the pandemic. To service the increased traffic, they needed to hire more warehouse workers in an extremely competitive market. Their hiring process lacked efficient technology and candidates were getting stuck in their days-long process or being snatched up by competitors. Plus, the administrative burden, like scheduling hundreds of candidates, was holding back the corporate recruiting team. 

They turned to Paradox in order to leverage conversational AI - and named it “Grace” - in taking the administrative hiring burden off of their hiring managers. The recruiters themselves were able to skip the hours spent calling candidates and scheduling interviews, because Grace handled it for them.

And the Future Looks Bright!
